1. Who we are

Kyndaris is a boutique operational systems consultancy for owner-led service businesses under $10M revenue, based in Maylands, Perth, and serving clients across Australia. We illuminate the operational gaps holding owners back, then close them with practical systems, lightweight AI tools, and ongoing hands-on support.

This Privacy Policy explains how we handle personal information collected through our website (kyndaris.com) and during our engagements — Discovery Calls, Business Mapping, Operating Retainers, and Builds. By using our website or engaging us as a client, you agree to the practices described in this policy.

2. What personal information we collect

We collect personal information only when you actively provide it. We do not collect data passively through advertising scripts or behavioural tracking pixels.

We do not collect payment card information through the website. We do not create user accounts for website visitors, and we do not track your browsing behaviour across other websites.

3. Why we collect it

Your information is collected and used for the following purposes:

4. How your information is processed

Information you submit through our website (e.g. a Discovery Call booking) is processed by our scheduling provider and delivered to us by email. We do not run automated profiling or scoring against website visitors.

AI use during engagements. Kyndaris uses AI tooling (including Anthropic's Claude) internally to draft, analyse, and structure deliverables during paid engagements. Where your operational information is processed by an AI provider as part of producing your deliverables, that processing happens under the provider's enterprise API terms, which prohibit using customer data to train their models. We do not feed client information into public chat tools, consumer AI apps, or model-training datasets. If your engagement involves sensitive data, the handling arrangement is documented in your engagement agreement.

5. Third-party services

We use the following third-party services to operate the website and deliver engagements. Each has its own privacy policy.

Google Fonts Our website loads the DM Sans typeface from Google. Google may log your IP address as part of standard CDN operation. No personal data is shared with Google by us beyond what is typical of a browser request.

Your data is processed in Australia and, where third-party providers operate offshore, in the United States and other jurisdictions where those providers operate. Where data is transferred offshore, it is protected by contractual safeguards in accordance with applicable Australian privacy law.

6. Data retention

Discovery Call booking information (name, email, time, optional notes) is retained for up to 12 months to enable follow-up. You may request deletion at any time — see Section 8.

Client engagement information (operational information, deliverables, correspondence) is retained for the duration of the engagement and for a reasonable period afterwards — typically up to 7 years — to meet record-keeping, tax, and professional obligations. Specific retention or destruction arrangements can be agreed in writing as part of your engagement agreement.

General enquiries are retained for as long as reasonably necessary to handle your request, then deleted.

7. Security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. All data is transmitted over encrypted connections (TLS/HTTPS). Access to client information is limited to the people inside Kyndaris who need it to deliver the engagement.

No method of transmission over the internet is 100% secure. While we use commercially reasonable measures, we cannot guarantee absolute security.

9. Cookies and tracking

We do not use advertising cookies, tracking pixels, or analytics scripts that profile you across the web. Our website does not set first-party advertising or analytics cookies.

Embedded third-party services (Calendly, Google Fonts) may set technical cookies or log requests as part of their standard operation. The Calendly booking widget loads when you reach that section of the homepage and is subject to Calendly's privacy notice. These services do not identify you personally to us and are not used by us for advertising or profiling.

If you wish to block all third-party requests, you can use a browser extension such as uBlock Origin. The Discovery Call booking widget will not load if Calendly is blocked, but the rest of the website will work normally — you can still email us at hello@kyndaris.com.

10. Children

Our services are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has submitted information to us, please contact us at hello@kyndaris.com and we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date in the meta panel at the top of this page reflects the most recent revision. We encourage you to review this page periodically. Continued use of our website after changes are posted constitutes acceptance of the updated policy.
